Instruction for Authors
Each paper will be blind-reviewed by at least two members of the scientific committee, and will be accepted on the bases of its originality, significance and clarity. For managing this complex process, VSMM 2017 abstracts and full papers will be submitted electronically through “EasyChair“.
If you have already used this system, you can use your existing EasyChair account, otherwise you will be required to set up a new account in order to submit a paper.

Once your account has been set up and confirmed through a validation mail, you can start the submission process by selecting “New Submission” on the top menu. The process is quite straightforward but not instantaneous: please consider at least 10-15 minutes for completing it.
After you have started a new submission you can select the most suitable conference track which fits with your paper from the following:
Track 1 – VR is Dead/ Long Live VR
Track 2 – Mixed Realities
Track 3 – Applied 3D Sensing & Modeling
Track 4 – Applied Haptics & Interaction
Track 5 – Digital Heritage & Preservation
Track 6 – VS & MM in Design/Engineering
Track 7 – Creative Arts & Design
Track 8 – Visualisation & Animation
Once chosen, the submission form will be open. Here, you have several sections to complete:
- Authors – In this section you have to specify Name, Affiliation, etc. for each author contributing to the work.
- Title, Abstract – Each field should be entered as a plain text and should not contain any HTML elements.
- Keywords – In this section each keyword has to be on a different line of text (3 keywords minimum).
- Upload Paper – This is where you can upload your pdf or, if you choose to upload it later, you can submit your abstract by checking the specific box on the right, indicating “Abstract Only”.
Authors are kindly invited to submit an extended abstract of their paper(s) of minimum 500 words up to 1,000 words (including references) no later than the Last Call for Participation, Friday 2nd June 2017 (12pm GMT time) in order to:
- Reduce submission time of the final paper(s), whose abstract and authors data are required anyway;
- Create a placeholder on the paper database, which can be updated in a subsequent moment by submitting the final pdf;
- Help organizers to choose in advance the most suitable reviewers, in order to make smoother and faster the revision process.
The abstract will be reviewed to determine the suitability to the conference theme and tracks, technical quality and innovation. The abstracts submitted before the deadline will be eligible for early review and acceptance. If the abstract is deemed suitable and chosen to be presented at VSMM 2017, we request that the full paper is due not later than Friday, 15th September 2017 (12pm GMT) in order to commence the double-peer review process required for publishing in the proceedings. As the conference adopts a double-blind reviewing process, authors must ensure that any information that links authors or co-authors, e.g. affiliations, contact details, e-mails, are removed from the abstract for the EasyChair submission. All final papers must be formatted in IEEE double column, single space format, A4 page.
The full, short or demo papers must be formatted in IEEE double column, single space format, A4 page. The word style or the latex template can be downloaded from the IEEE website. Two types of format are acceptable: full paper (8 pages) or short and demo papers (4 pages). This size is referred to as the camera-ready paper and includes figures, tables and formulas.
The publisher of the proceedings as per previous VSMM conferences is IEEE. The papers which are submitted to VSMM 2017 and are accepted by the international academic committee will be double peer-reviewd and published into a proceedings document and available on IEEE Xplore. The papers will be indexed according to their process. Please note, only those papers presented as part of the VSMM 2017, Dublin will be published in the conference proceedings.
A brief proposal (up to 1,000 words) should be submitted by Deadline Friday, 2nd June 2017 (12pm GMT). Proposals must include a title, an outline of the Workshop (half day or full day, maximum number of participants) and its motivations, a short description of the material required, contact information and a CV for each presenter. Please ensure you include ‘Workshop’ in the title of your abstract.
Proposals for Special Sessions should be submitted by Friday, 2nd June 2017 (12pm GMT). Proposals must include a topical title, rationale, session outline, contact information for the Session Chair(s) and include information on authors who have agreed to present a paper in the session with a tentative title and short abstract for each paper (maximum submission length of 3,000 words). Please ensure you include ‘Special Session’ in the title of your abstract.
